Terms and Conditions of Service

Effective Date: 21 October 2025
These Terms & Conditions (“Terms”) set out the agreement between The Private Wing London (“the Clinic”, “we”, “us”, or “our”) and each individual (“you” or “the client”). By booking or attending any consultation, treatment, or procedure, you agree to these Terms in full.
1. Consultations and Suitability
1.1 Qualified Assessment: Consultations are carried out by qualified members of our clinical team.
1.2 Consultation Fees: A consultation fee may apply and will be confirmed at the time of booking. This fee may, in some cases, be deducted from your final treatment cost if you proceed, at the Clinic’s discretion.
1.3 Suitability: Assessment of suitability is at the discretion of our clinicians based on your medical history and professional judgement. We reserve the right to decline or defer treatment if it is considered unsafe or unsuitable for you.
1.4 Health Disclosure: You must provide accurate and complete health information regarding your medical history, allergies, and current medications. Failure to do so may compromise your safety or the results of treatment, and The Clinic will not be held liable for any adverse outcomes arising from omission.
1.5 Age Requirement: The Clinic does not provide treatments for individuals under 18 years old, except in rare cases with prior written approval.
2. Treatments, Results, and Expectations
2.1 Treatment Approval: All treatments are subject to a full medical review and clinician approval.
2.2 No Guarantee: Outcomes vary depending on individual circumstances; no guarantee of specific results is made, implied, or warrantied. Fees are charged for the professional execution of the procedure itself, not for a guaranteed result. In the case of hair transplantation it is unethical to guarantee results.
2.3 Illustrative Examples: Photographs and examples are provided for general guidance and may not reflect the exact individual results achievable for every individual.
2.4 Treatment Courses/Packages: For treatment packages or courses, full payment must be received before commencement. Packages must be completed and redeemed within 12 months from the date of purchase.
3. Bookings, Deposits, and Payments
3.1 Deposit Requirement: A deposit is required to confirm your booking. The amount will be specified at the time of reservation.
3.2 Non-Refundable Deposit: Deposits are non-refundable unless otherwise agreed in writing.
3.3 Full Payment: Full payment for procedures must be received and cleared a minimum of 14 days before the date of treatment. Failure to pay in full by the specified date may result in the forfeiture of your appointment and retention of the deposit.
3.4 Payment Methods: Payments can be made by debit card, credit card, or bank transfer. Finance options may be available through approved providers.
3.5 No Refunds on Commenced Treatments: The Clinic does not offer refunds on any treatments, procedures already commenced/completed, or any product purchases.
4. Cancellations and Rescheduling Policy
All cancellations and rescheduling requests must be made in writing (by email or letter) and are subject to the following terms:

4.6 Clinic Reschedule: The Clinic reserves the right to reschedule appointments due to unforeseen circumstances (e.g., staff illness, medical emergencies, equipment failure). In such cases, we will offer the earliest available alternative date and any payments made will be transferred.
5. Aftercare and Responsibilities
5.1 Instructions: You will be provided with written and verbal aftercare instructions following your treatment. You agree it is your responsibility to follow them carefully. Failing to follow aftercare guidance may affect healing and final results. The Clinic cannot be held responsible for complications or dissatisfaction caused by non-compliance.
5.2 Follow-up: Follow-up appointments are included, when required and should be attended as advised by your clinician.
5.3 External Costs: The Clinic is not liable for any associated costs (e.g., travel, accommodation, loss of earnings) connected with follow-up treatment or management of complications.
6. Minors and Visitors
6.1 Patient Conduct: All clients and visitors are expected to treat Clinic staff and other patients with courtesy and respect. The Clinic maintains a zero-tolerance policy for abuse.
7. Liability
7.1 Non-Liability for Patient Conduct: The Clinic cannot be held liable for adverse effects or suboptimal results arising from your failure to follow aftercare or fully disclose relevant medical information.
7.2 Unforeseen Events: The Clinic accepts no responsibility for loss or damage arising from delays or cancellations caused by circumstances beyond our reasonable control.
8. Privacy, Data Protection, and Complaints
8.1 Data Compliance: The Private Wing London complies with the UK General Data Protection Regulation (GDPR). Your personal data is used only for treatment, administration, and communication purposes.
8.2 Data Sharing: Your data is not shared without your consent unless required by law. You may request access to or correction of your data by contacting the Clinic directly. However, in accordance with medical record-keeping requirements and clinical oversight standards, your medical records and associated data cannot be deleted. This retention is necessary to ensure continuity of care and regulatory compliance.
8.3 Complaints: We aim to provide the highest standard of care. If you have concerns, please raise them with a member of staff as soon as possible. Formal complaints must be submitted in writing and will be handled promptly in line with our internal policy, which is available upon request.
9. Governing Law
9.1 Jurisdiction: These Terms are governed by and interpreted in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts
